Management Service Questions

What sets RW Management Services apart from other management firms?

RW Management is a medium size firm and we don’t treat our clients as numbers. Therefore we are able to personally commit the time for each of the associations we manage to provide results through our “hands on” approach.

Who will be handling our association if we hire RW Management Services?

We are committed to excellent customer service.  Our firm works as a team in the day to day operations of our associations. The team is managed by a company principal who is available at all times to managers, board members and able to attend meetings as available.  In this respect,  all managers and administrators are familiar with each of our accounts and can meet the physical, and operational needs for each community. This makes matters easier to handle whenever a homeowner, vendor or board member contacts our office.   Managers meet with company administration on a regular basis to assist each other, share ideas and offer suggestions and experiences with each other.

Who are work orders assigned to for completion?

RW Management does not own a maintenance company like many other management firms.  Therefore, we don’t profit from assigning work orders to a company we also own.  All work orders are assigned to contractors that are the most competitive and who are best suited to provide the services required to complete the work order properly the first time.  This ensures that the board and homeowner are happy with the repair and there is a check and balance system in place.

Moreover, since we handle multiple properties we are in a position to offer our associations cost savings on a variety of maintenance and professional services.  We will always work to negotiate the best price for the association and we will never accept any referral fees from the vendors we work with.

Emergency Services Protocol

All emergency matters after business hours or on weekends or holidays are handled through an after hour answering system.  The call would be screened to ensure that it is an emergency and then routed to the on call manager for immediate response. If urgent action is necessary, the manager will contact a board member for instructions and where necessary, contact the local authorities or contractor to address the situation.  The manager will travel to the site to oversee the situation until it is resolved.

How does RW Management Services stay in touch with board members?

Since we realize that board members are volunteers, we strive to make certain that our board members are not bogged down with the day to day operations of the association. Board members are the decision makers for the community and RW Management Services will provide guidance to the board.  We will then work at the board’s direction by implementing the policies and decisions of the board.  A property manager will attend and run each board meeting when scheduled.

RW Management will communicate with each board member on a regular basis through email, telephone or personal meeting depending on the nature of the communication.  Of course, emergent matters are handled immediately with the board.
